Your Company Name LLC ("we", "us") operates the Dispatch school transportation service, which includes a mobile app used by bus drivers, a web portal used by transportation staff, and a bus-tracking page used by parents and guardians. This policy explains what information we collect, why we collect it, who can see it, and how long we keep it.
In short: we collect the driver's location while they are on duty so that the transportation office and a student's own parent can see where the bus is. We collect student ride information so we know each child was picked up and dropped off safely. We do not sell any of this information, we do not use it for advertising, and we do not share it with anyone outside the school and the transportation company except where the law requires it.
While a driver is signed in and sharing location, the app collects the vehicle's GPS position and sends it to our server. This happens while the app is in the background or the phone is locked, because a driver cannot hold a phone while driving a bus. Drivers see an ongoing notification on Android, or the status indicator on iOS, whenever location is being shared.
Location sharing is started by the driver and can be stopped by the driver at any time from the app's home screen. It is not collected on weekends, holidays, or school closure days, and it is not collected when the driver is signed out.
The transportation office enters student names, home pickup addresses, school drop-off locations, an access code, and guardian contact email addresses. This information is provided by the school or district; we do not collect it from students or from anyone under 18.
When a driver marks a stop complete, we record the student, whether it was a pickup or drop-off, the time, the outcome (for example completed, absent, released to an approved adult), and the GPS position where it was recorded.
For drivers, we store scheduling, licence and document expiry dates, time-off requests, pre-trip vehicle inspection results, and pay-related information such as pay rate, days worked, and withholding estimates.

We do not sell personal information, share it for advertising, or transfer it to data brokers. We may disclose information if required by law, a subpoena, or a court order, or where necessary to protect the safety of a child.

When the app requests a map tile, a route, or an address lookup, the relevant coordinates or address are sent to that provider. Student names and guardian details are never sent to them.
Dispatch is not directed to children and children do not use it. Student information is provided by the school or district and is handled on their behalf as an education record. Parents and guardians who want to review, correct, or request deletion of their child's information should contact their school district, or contact us and we will work with the district.
No system is perfectly secure, but we take reasonable steps to protect this information and to limit who can reach it.
If we change how we use information, we will update this page and change the effective date above. Material changes affecting drivers or guardians will also be communicated through the transportation office.
